- Accurately and promptly entering order-related data into the company's system.
- Processing information in line with provided instructions and established procedures.
- Validating individual invoices and sending them to clients within the specified deadline.
- Performing bulk invoice validation, analyzing amounts due from clients, and ensuring timely submission of invoices.
- Reviewing supplier invoices and approving them for payment in accordance with internal procedures and deadlines.
- Archiving documents in compliance with legal requirements and internal regulations.
- Generating, analyzing, and submitting performance indicators (KPIs) to clients and suppliers, meeting agreed deadlines.
- Preparing credit/debit notes and cost adjustment reports, and updating the system accordingly.
- Providing support to the ROAD, ASF, and SALES departments as needed.
- Performing additional tasks specific to the role, as assigned by the direct manager.
- Completed secondary education or higher education.
- Approximately 2 years of previous experience on a similar role would be an advantage.
- Proficiency in PC operation, particularly the Microsoft Office package (Excel, Word, Outlook) and openness to learn other software systems as well.
- At least a medium level of fluency in English.
- Basic understanding of the transport industry together with a basic understanding of European geography would be an advantage.
- Excellent self-organization and time management, with the ability to plan and prioritize tasks efficiently.
- Warm and professional communication style, both in person and in writing, ensuring a positive first impression for visitors and callers.
- Reliable and detail-oriented, with a structured approach to administrative tasks and record-keeping.
- Flexible and adaptable, able to remain composed and solution-focused in a fast-paced environment.
- Strong team player, open to collaboration and always ready to support colleagues when needed.
- Customer-focused mindset, with a natural ability to assist others and provide helpful, courteous service.
